Refund & Cancellation Policy

At Amara Events LLC, we are committed to providing exceptional event production and rental services. Because we reserve equipment, personnel, and event dates specifically for each client, our refund policy is designed to be fair to both our customers and our business.

By booking services with Amara Events LLC, you agree to the following terms.

Deposits

A deposit may be required to reserve your event date and equipment.

Unless otherwise stated in your service agreement, deposits are non-refundable because they secure equipment availability, scheduling, and event preparation.

Event Cancellations

Cancellation requests must be submitted in writing by email.

Depending on the timing of the cancellation and the terms of your service agreement:

  • Deposits are generally non-refundable.

  • Payments made beyond the required deposit may be refunded, in whole or in part, at the discretion of Amara Events LLC and in accordance with your signed agreement.

  • Cancellation fees may apply if equipment has already been reserved, prepared, delivered, or installed.

Rescheduling

If you need to reschedule your event, please contact us as soon as possible.

We will make every reasonable effort to accommodate your new event date based on equipment and staff availability.

Previously paid deposits may be transferred to the new event date when approved by Amara Events LLC.

If the requested date is unavailable, the original cancellation terms will apply.

Equipment Rentals

Rental equipment that has already been delivered, installed, or made available for pickup is generally not eligible for a refund.

If rental equipment is returned unused after delivery or pickup, refunds are not guaranteed and will be evaluated on a case-by-case basis.

Service Interruptions

If Amara Events LLC is unable to provide contracted services due to circumstances within our control, we will work with the customer to provide one or more of the following:

  • A replacement service

  • Rescheduling

  • A partial refund

  • A full refund, when appropriate

The remedy provided will depend on the nature of the service interruption.

Weather and Force Majeure

Outdoor events are subject to weather and other circumstances beyond anyone's control.

Refunds are generally not provided for cancellations or interruptions caused by:

  • Severe weather

  • Natural disasters

  • Government restrictions

  • Utility outages

  • Venue closures

  • Acts of God

  • Other events beyond the reasonable control of either party

Whenever possible, we will work with clients to reschedule services.

Customer Responsibility

Customers are responsible for:

  • Providing accurate event information

  • Ensuring venue access at scheduled times

  • Maintaining communication regarding schedule changes

  • Reviewing rental agreements before booking

Failure to provide venue access or necessary event information may result in additional charges and may affect refund eligibility.

Refund Processing

When a refund is approved, it will generally be processed using the original payment method.

Please allow 5–10 business days for approved refunds to be processed, although processing times may vary depending on your financial institution or payment provider.
